The base prices now look unusually close
Google Workspace Business Starter and Microsoft 365 Business Basic both list at $7 per user per month in the US on annual commitments. That creates an appealing headline comparison, but the included work environment is different. Google is browser-first and includes limited Gemini features in Starter. Microsoft’s entry business tier centres on web and mobile Office apps, email and Teams, with higher plans adding desktop apps and broader management features.
A company should compare the edition each role actually needs, not the cheapest logo on the pricing page.
AI inclusion is not the same as AI capacity
Google has woven Gemini into Workspace editions, with broader app access and limits at higher tiers. Microsoft offers Copilot Chat capabilities across its ecosystem while more advanced Microsoft 365 Copilot experiences may involve separate licensing or higher bundles.
The useful question is which employees need AI inside documents, spreadsheets, meetings and mail every day. Giving a premium AI entitlement to every seasonal worker or field employee can erase the apparent efficiency of a suite-wide purchase.
Storage and desktop software change the math
Workspace Standard raises pooled storage and expands Gemini across more apps. Microsoft Business Standard adds desktop Office applications, which can be decisive for organizations exchanging complex Excel, PowerPoint or Word files with clients.
Count what the suite replaces. A move to Workspace may reduce separate storage or meeting costs. A move to Microsoft may eliminate standalone desktop-software licences. Those avoided bills belong in the comparison.
Build a three-role model
Price an administrator, a knowledge worker and a light user separately. The administrator may need security and management. The knowledge worker may need full desktop apps and AI. The light user may need only email, chat and occasional documents.
A mixed licence strategy is often cheaper than declaring one plan the company standard. It also creates a more honest pilot because the business can see where premium features are truly used.
